The VA Buzz

Virtual Assistants always have lots of balls in the air. That=E2=80=99s ju=
st the nature of the work.

The downside of so much activity=2C however=2C is that sometimes we fall i=
nto a habit of doing what=E2=80=99s in front of us instead of thinking thr=
ough the best next step on our ever-growing to do list.

When that happens=2C it=E2=80=99s important to know what to do to get back=
 on track (hint: the answer is not always to just work more or harder or f=
aster). Sometimes you just need to get organized and get that 10=2C000-foo=
t view back in focus.

Thankfully=2C I=E2=80=99ve been doing this long enough to know that when t=
his happens to me=2C there are three things to get back on track:
1. Clear the space. When I=E2=80=99m resetting my work mode=2C the first t=
hing I do is take every single thing off my desk=2C from Kleenex boxes and=
 knick-knacks=2C to each scrap of paper. I then clean the surface of my de=
sk (extra credit).
Now it=E2=80=99s time to put back your =E2=80=9Cstuff=E2=80=9D (but no pap=
ers yet=2C please). Remember that every single thing on your desk is takin=
g up some of your attention=2C whether you realize it or not=2C so be real=
ly picky about what lives within your immediate view.
Your desk top is a place to be creative=2C solve problems=2C and make mone=
y. Make sure there=E2=80=99s enough visual space to do that.

2. Organize the work. Despite the conventional wisdom that says to handle=
 each paper just once=2C I begin by sorting my huge pile into chunks accor=
ding to blow-up-ability (i.e.=2C the likelihood that something terrible wi=
ll happen if I don=E2=80=99t take care of it).
I do my sorting on a table=2C not my desk=2C and here are some of my categ=
ories: Red Hot (if I don=E2=80=99t take care of it in the next couple of d=
ays I=E2=80=99m in big trouble); Want To Keep But No Action Required (ther=
e=E2=80=99s no blow-up-ability possible); Client Work that is sorted by pr=
oject=2C and sorted again according to the status of the project. GREAT!

3. Create room. The final step=2C and perhaps the hardest=2C is to dedicat=
e blocks of time for work and schedule them into your calendar. No email=
=2C no phone calls=2C just you and the work. Tell the people around you th=
at=2C =E2=80=9CUnless it=E2=80=99s on fire=2C I don=E2=80=99t need to know=
 for the next X hours.=E2=80=9D
If you=E2=80=99ve tried all of this and still find it difficult to stay fo=
cused=2C choose one project to work on. Take only what you need and=2C if=
 necessary=2C move to another location void of all distractions. When I do=
 this=2C it feels like I can get an entire day=E2=80=99s work done in two=
 hours.
I can hear the chorus from here=2C =E2=80=9CI don=E2=80=99t have time to c=
lean my office! I can=E2=80=99t leave my phone or email for hours at a tim=
e! I=E2=80=99m running a business here!=E2=80=9D
I=E2=80=99m here to tell you that if you can=E2=80=99t leave your phone or=
 take the time to get yourself organized=2C you=E2=80=99re not running you=
r company =E2=80=93 your company is running you!

I guarantee that if you stop reacting to everything that=E2=80=99s coming=
 at you and take some time to organize your office=2C your projects=2C you=
r thoughts=2C and your time=2C you=E2=80=99ll easily get more done than yo=
u ever thought possible.

 habit of doing what=E2=80=99s in front of us instead of thinking through=
 the best next step on our ever-growing to do list.</p>

 that happens=2C&nbsp;it=E2=80=99s important to know what to do to get bac=
k on track (hint: the answer is not always to just work more or harder or=
 faster). Sometimes you just need to get organized and get that 10=2C000-f=
oot view back in focus.&nbsp;</p>

fully=2C I=E2=80=99ve been doing this long enough to know that when this h=
appens to me=2C&nbsp;<strong>there are three things to get back on track</=
strong>:</p>

webkit-text-size-adjust: 100%;"><strong>Clear the space.</strong>&nbsp;Whe=
n I=E2=80=99m resetting my work mode=2C the first thing I do is take every=
 single thing off my desk=2C from Kleenex boxes and knick-knacks=2C to eac=
h scrap of paper. I then clean the surface of my desk (extra credit).<br>
=09<br>
=09Now it=E2=80=99s time to put back your =E2=80=9Cstuff=E2=80=9D (but no=
 papers yet=2C please). Remember that every single thing on your desk is t=
aking up some of your attention=2C whether you realize it or not=2C so be=
 really picky about what lives within your immediate view.&nbsp;<br>
=09<br>
=09Your desk top is a place to be creative=2C solve problems=2C and make m=
oney. Make sure there=E2=80=99s enough visual space to do that.<br>
=09&nbsp;</li>
=09<li style=3D"mso-line-height-rule: exactly;-ms-text-size-adjust: 100%;-=
webkit-text-size-adjust: 100%;"><strong>Organize the work.</strong>&nbsp;D=
espite the conventional wisdom that says to handle each paper just once=2C=
 I begin by sorting my huge pile into chunks according to blow-up-ability=
 (i.e.=2C the likelihood that something terrible will happen if I don=E2=
=80=99t take care of it).&nbsp;<br>
=09<br>
=09I do my sorting on a table=2C not my desk=2C and here are some of my ca=
tegories: Red Hot (if I don=E2=80=99t take care of it in the next couple o=
f days I=E2=80=99m in big trouble); Want To Keep But No Action Required (t=
here=E2=80=99s no blow-up-ability possible); Client Work that is sorted by=
 project=2C and sorted again according to the status of the project. GREAT=
!<br>
=09&nbsp;</li>
=09<li style=3D"mso-line-height-rule: exactly;-ms-text-size-adjust: 100%;-=
webkit-text-size-adjust: 100%;"><strong>Create room.</strong>&nbsp;The fin=
al step=2C and perhaps the hardest=2C is to dedicate blocks of time for wo=
rk and schedule them into your calendar. No email=2C no phone calls=2C jus=
t you and the work. Tell the people around you that=2C =E2=80=9CUnless it=
=E2=80=99s on fire=2C I don=E2=80=99t need to know for the next X hours.=
=E2=80=9D&nbsp;<br>
=09<br>
=09If you=E2=80=99ve tried all of this and still find it difficult to stay=
 focused=2C choose one project to work on. Take only what you need and=2C=
 if necessary=2C move to another location void of all distractions. When I=
 do this=2C it feels like I can get an entire day=E2=80=99s work done in t=
wo hours.&nbsp;<br>
=09<br>
=09I can hear the chorus from here=2C&nbsp;=E2=80=9CI don=E2=80=99t have t=
ime to clean my office! I can=E2=80=99t leave my phone or email for hours=
 at a time! I=E2=80=99m running a business here!=E2=80=9D<br>
=09<br>
=09I=E2=80=99m here to tell you that if you can=E2=80=99t leave your phone=
 or take the time to get yourself organized=2C you=E2=80=99re not running=
 your company =E2=80=93 your company is running you!</li>
</ol>
